Our growing department of Rare Currency and Bank Notes needs a well-rounded Executive Assistant to provide support for the Currency experts. Heritage Auctions, a well-established auction house with over 40 years in Dallas and is the third largest auction house in the world. 
 
SUMMARY: Responsible for managing daily tasks for a company director and one to two other high level auction professionals.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
  • Overseeing and managing frequent and often extensive marketing projects.
  • Preparing and editing correspondence.
  • Maintain all special requests for consignments. As well as preform catalog editing, typically, 6x per year for one to three weeks each.
  • An ability to help compile and edit press releases, blogs, and other social media.
  • Managing and coordinating travel.
  • Managing and coordinating projects while the experts are out of the office.
  • Proficiency in the Microsoft Office suite of programs.
  • Great interpersonal skills to work with many different company teams including other Executives, client services, operations, and marketing.
  • Assist department leads with administrative tasks as assigned.
  • A strong background in editorial work for proposals and other marketing projects is preferred.
 
SKILLS AND ABILITIES: Must be highly proficient in basic Microsoft applications, specifically Word, Excel, and Outlook; have outstanding communication skills (both verbal and written); highly polished with impeccable interpersonal skills; strong work ethic with a drive to stay on task with limited supervision; well-organized with excellent follow-through skills.
 
WORK ENVIRONMENT: Individual must be able to work independently a fast-paced environment. Long hours required near some marketing deadlines (approximately quarterly). Some occasional travel may be required.
