SUMMARY: Seeking detail-oriented Operations and Logistics Coordinator with excellent client services skills to oversee operations for a small regional office in San Francisco. Responsible for running daily operations, including client interface (phone and walk-ins), receipting and entering property, packing and shipping of consignments sent to Dallas, referring clients to specialists in the various departments throughout Heritage, and assisting otherwise as needed. 
  • Oversee facilities management
  • Support consignment directors as needed
  • Ensure any consignments that come through the regional office are accurately processed, including tagging and entry where warranted
  • Pack and Ship consigned property to Dallas
  • Comply with office and property security requirements
  • Answer main phone line; refer callers as appropriate
  • Greet and address walk-in clients; refer as appropriate
  • Oversee any part-time or temporary staff assisting in the office
  • Assist with local highlights previews, appraisal days, and other events as needed (manage event logistics such as catering, supplies, furniture rentals)
  • Assist with desks and set up of IT equipment
  • Oversee repairs, exterminators, inspectors, supplies, equipment, janitor, security upgrades
  • Process facility bills, invoices and expenses
  • Work closely with client services department as needed
  • Bachelor’s degree preferred
  • At least 5 years of operations experience; auction experience preferred
  • Strong knowledge of logistics
  • Action-oriented with skills and aptitude to excel in a fast-paced and deadline-driven environment
  • Excellent client service skills; ability to remain calm in pressure situations
  • Excellent communication and interpersonal skills; demonstrated ability to communicate with all organizational levels
  • Flexibility to work overtime and weekend hours when necessary
