SUMMARY: Seeking detail-oriented Administration and Operations Assistant with excellent client services, administrative and operational skills to work with the Managing Director in our Beverly Hills Office. Responsible for assisting with daily operations including arranging transport logistics, preview set up, event coordination, working with clients, maintaining inventories, and assisting otherwise as needed. 
 
 
ESSENTIAL DUTIES & RESPONSIBILITIES:
  • Maintain weekly on-site facility value inventory
  • Schedule and maintain transport spreadsheets
  • Assist with wine inventory, invoicing, and sale settlement
  • Comply with office and property security requirements
  • Assist with local highlights previews, appraisal days, and other events (manage event logistics such as catering, supplies, display case rentals; set up and breakdown, etc. etc.)
  • Assist clients in a courteous and professional manner
  • Assist with special projects and support Managing Director as needed
 
EDUCATION & EXPERIENCE:
  • High school diploma required, Bachelor’s degree preferred
  • Minimum 2+ years of operations or admin experience; auction experience preferred
  • Strong knowledge of operations
  • Action-oriented with skills and aptitude to excel in a fast-paced and deadline-driven environment
  • Excellent client service skills; ability to remain calm in pressure situations
  • Excellent communication and interpersonal skills; demonstrated ability to communicate with all organizational levels
  • Flexibility to work overtime and weekend hours when necessary
