Are you a Marketing Project Liaison with strong organization, time management, and communication skills? Heritage Auctions ( is the third largest and one of the fastest growing auction houses in the world. Heritage Auctions sales in addition to fine jewelry include: luxury accessories, watches, wine, coins, books and manuscripts, modern & contemporary art, American and European art, decorative arts, entertainment, music, and many more.
SUMMARY: Primary responsibility is to work closely with Marketing to fulfill content for ads and direct mail, administer creation of catalogs, write about feature lots for PR and newsletters, among other eCommerce initiatives. 
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
  •  Provide and assist with content to eCommerce for newsletters, web advertising, and blogs
  • Provide information for Fine Arts Facebook account; participate in blogs and other internet PR outreach
  • Assist in creation of email campaigns for CD Travel
  • Assist with Announcements (opening and closing) for each Auction
  • Ensure online catalogue covers are up to date
  • Create banners for
  • Create email announcements/reminders for receptions, previews, expert picks, etc.
  • Write blogs
  • Assist in art direction with CDs, photographers, and photo-shoppers for catalog covers and other specialized images
  • Communicate forewords, session pages, indexes, essays, secondary photos, etc. for catalogues
  • Ensure best ads in Fine Arts catalogs
  • Work with marketing, IT, and department heads to finalize catalogs for print and online uploads
  • Coordinate efforts to update and improve catalog formatting from software development through printing
  • Keep up the auction calendar including receptions and regional previews
  • Keep up the Online Only auction calendar communicating all deadlines to all concerned
  • Consider advertising and partnership opportunities: art shows; art publications; new specialty publications for FDA categories; trade magazines, working closely with Category Marketing Specialists
    Ideal candidate must possess the following:
  • Outstanding communication skills both verbal and written
  • Extremely adept at interfacing with senior management and customers
  • Highly polished with impeccable interpersonal skills
  • Ability to uphold a strict level of confidentiality
  • Demonstrated problem-solving skills and independent decision making in a high-pressure environment
  • Ability to multi task
  • Extensive knowledge of MS Word, Excel and Outlook
  • 7+ years administrative assistant experience; 2+ years providing administrative support to C-level executives
  • Prior employment experience must demonstrate job stability
EDUCATION and/or EXPERIENCE: Must have a High School Diploma. Bachelor’s degree is preferred.  
WORK ENVIRONMENT: Individual must be able to work with unique personalities in an extremely high-volume environment with extreme tight turnaround time.
